Read this first — every recipe, every time

This is a recipe, not a guarantee. How well any ad campaign performs depends on things no recipe can control: your budget, how crowded and expensive your industry's auctions are, the products you sell and what you charge for them, how well your website actually converts visitors, the quality of your customer support, your reviews and reputation, your creative, and plain timing. A perfect recipe on top of a weak offer or a broken website will still lose money — ads amplify what's already there, good or bad.

The budgets shown are suggestions only — yours could and should vary with your available funds and your goals. Follow this recipe with caution: make sure every step lines up with your budget and your business, and edit where necessary. We explain why each step exists, but nothing here is one-size-fits-all. Before you spend a dollar, be blunt with yourself about the list above — get your house in order, then use the recipe to learn and test. That's what it's for.

Check the rules that govern your industry before you run anything. Plenty of businesses carry advertising obligations that have nothing to do with the ad platforms: licensing boards, professional advertising standards, rules about what you may claim and how you must substantiate it, age restrictions, and consent laws covering email, texting, and calling. Those rules are yours to know, they vary by state and country, and they override any step in this recipe.

If you work in a licensed or regulated field — health and medical, legal, financial and lending, insurance, real estate, alcohol, firearms, cannabis, childcare, education, anything with a board or a license behind it — confirm what applies to you before you spend a dollar, and ask your attorney or your licensing body if you are not certain. Nothing on this site is legal advice.

This recipe uses Google Search and Performance Max exclusively. The sequence is: install conversion tracking before spending a dollar, run a tightly controlled Search campaign to capture families already looking for a private school, then graduate to Performance Max only after you have 30+ conversions to feed the algorithm. Google is the right single platform here because private school enrollment is search-heavy — parents type “private school near me” or “best private elementary school in [city]” when they’re actively evaluating options, not passively scrolling a feed.

This recipe is for admissions directors or school marketing staff managing a modest budget with little or no prior ad history. The core problem is that private schools compete in a high-stakes, long-consideration category where a click means nothing — what matters is inquiry form submissions and scheduled tours. Every phase is built around that conversion event, not vanity metrics.

What can you afford to pay for a customer?

Advertising can only cost what's left after everything else. Put in what a typical order looks like and this works out the rest.

These are your numbers as you've typed them. Connect your store and we'll work this out from your actual orders instead — including the costs most people forget.

1

Tracking & Foundation

The technical setup

Install Google Tag Manager on every page of the school website. Fire a Google Ads conversion tag on the thank-you page that appears after a prospective family submits an inquiry form or books a tour. Set conversion category to Submit lead form, count to One (one conversion per inquiry, not per click), and assign a conversion value if you know average tuition revenue — even a rough estimate helps Smart Bidding later. Also create a secondary conversion action for phone calls lasting 60+ seconds using the Google forwarding number. Verify both tags fire correctly in GTM Preview mode and in the Google Ads Conversions dashboard before launching any campaign. Link Google Ads to Google Analytics 4 and import GA4 goals as a cross-check.

Compliance note: Private schools advertising to families of minors should verify their obligations under COPPA, state student-privacy laws (e.g., FERPA as it applies to marketing), and any accreditation body's rules on advertising claims — these vary by state and school type and override anything in this recipe.

In plain English

Before spending a cent on ads, make sure the website can actually tell Google when someone fills out an inquiry form or calls. Set up Google Tag Manager, attach a conversion tag to the thank-you page after the form, and test it. Without this, Google's algorithm is flying blind and you're paying for clicks you can't measure.

New to "funnel" talk? What top, middle, and bottom mean

Think of every person who could ever buy from you as water moving through a funnel. Top of funnel is strangers — people who've never heard of the business. Campaigns here buy attention and first visits, not sales, so expect cheap clicks and few purchases. Middle of funnel is people who've shown interest — they visited, engaged, or are comparing options. Campaigns here re-engage and build the case. Bottom of funnel is people ready to buy right now — searching for exactly what you sell or abandoning a cart. Campaigns here convert; the clicks cost the most because the intent is worth the most. Full funnel means automated campaigns that work every stage at once. One thing that surprises people: recipes usually start at the bottom — capture the demand that already exists before spending money creating new demand at the top.

2

High-Intent Search — Inquiry Capture

The technical setup

Create a single Search campaign targeting a 15–25 mile radius around the school (or the metro area if the school draws from a wide geography). Use Maximize Conversions bidding with no target CPA at launch — let it collect data first. Budget: $40–$60/day. One ad group per theme: (1) school type/grade level, (2) location-based queries, (3) competitor/alternative queries. Write 3 responsive search ads per ad group with headlines that name the school's specific differentiators (curriculum type, class size, accreditation, faith affiliation if applicable). Use all available assets: sitelinks to Admissions, Tuition & Aid, Open House; callouts for class sizes, accreditation body, years established; structured snippets listing grade levels offered. Enable Search and Search Partners; disable Display Network.

Reminder: budget figures are suggestions — scale to your funds and goals.

BOTTOM OF FUNNEL
Campaign setup Google — Search campaign

Targets parents already searching for a private school — highest purchase intent, closest to submitting an inquiry.

  1. 1. In Google Ads, click + New Campaign → goal: Leads → campaign type: Search.
  2. 2. Name the campaign (e.g., 'Search — Private School Inquiries') and select your primary conversion action (inquiry form submission).
  3. 3. Set bidding to Maximize Conversions; leave Target CPA blank for the first 4–6 weeks.
  4. 4. Set daily budget to $40–$60. Set start date; leave end date open.
  5. 5. Under Networks, check Search Network and Search Partners; UNCHECK Display Network.
  6. 6. Under Locations, enter the school's city/metro and set radius (15–25 miles) or target specific zip codes. Set location option to 'Presence: People in or regularly in your targeted locations.'
  7. 7. Set languages to English (add others if the school serves multilingual families).
  8. 8. Create Ad Group 1 — 'School Type & Grade': add phrase and exact match keywords from the keyword list below. Create Ad Group 2 — 'Location Intent'. Create Ad Group 3 — 'Curriculum & Program'.
  9. 9. Write 3 Responsive Search Ads per ad group: 15 headlines (include school name, grade levels, curriculum type, accreditation, CTA like 'Schedule a Tour'), 4 descriptions. Pin the school name or strongest differentiator to Headline 1.
  10. 10. Add all asset types: Sitelinks (Admissions, Tuition & Financial Aid, Open House, About Us), Callouts (Small Class Sizes, Accredited, Est. [Year]), Structured Snippets (Grade Levels: Pre-K, Elementary, Middle, High).
Starter keywords — copy, localize, and prune to fit
"private school near me" "private school in [city]" [private elementary school [city]] [private middle school [city]] [private high school [city]] "best private school [city]" "private school admissions [city]" "private school open house [city]" "Christian school [city]" "Catholic school [city]" "Montessori school [city]" "college prep school [city]" "independent school [city]" [small class size private school] "private school tuition [city]" "private school enrollment [city]" "K-12 private school [city]" "accredited private school [city]"
Starter negative keywords
free school public school homeschool curriculum private school jobs private school teacher jobs private school ranking list how to start a private school private school statistics private school vs public school essay
In plain English

This is the core campaign — it shows your ads to parents who are actively Googling for a private school right now. You're not guessing at audiences; you're meeting real demand. Keep it geographically tight, write ads that speak to what makes your school different, and let Google learn which searches actually turn into inquiries before touching the bids.

3

Landing Page & Offer Audit

The technical setup

Pause and audit before scaling. Check: (1) Does the inquiry form load on mobile in under 3 seconds? Use PageSpeed Insights. (2) Is the form above the fold or within one scroll? (3) Does the confirmation page fire the conversion tag (verify in GTM Preview)? (4) Is there a clear next step after submission — a calendar link to book a tour, or a promise of a callback within 24 hours? (5) Are reviews or accreditation badges visible near the form? Run a 2-week check: if click-through rate is above 5% but conversion rate on the landing page is below 3%, the page is the bottleneck, not the ads. Fix the page before increasing budget.

Reminder: budget figures are suggestions — scale to your funds and goals.

In plain English

Ads can drive clicks, but if the website form is buried, slow, or gives no reassurance after submission, families will leave without inquiring. This phase is a gut-check: look at where people drop off, fix the obvious friction points, and confirm the conversion tag is actually firing. Results depend heavily on the quality of the page and the school's follow-up speed — the recipe can't fix those for you.

4

Signal Seeding — YouTube & Display for Awareness

The technical setup

Once the Search campaign has been live for 3–4 weeks and is generating clicks (even if conversions are still low), add a small awareness layer. Create a Video campaign (objective: Awareness & consideration → Video reach) using a 30–60 second school tour or 'day in the life' video. Target: in-market audiences for 'Private Schools & Tutoring' and 'Family-Focused Consumers'; layered with parental status (parents of children ages 4–17) and household income top 25–50% (available under Detailed Demographics). Geography: same radius as Search campaign. Budget: $10–$15/day separate from Search. This campaign's job is not to generate conversions — it's to build brand familiarity so that when a parent later Googles private schools, your name is already familiar. Do not judge this campaign on CPA.

Reminder: budget figures are suggestions — scale to your funds and goals.

TOP OF FUNNEL
Campaign setup Google — Video campaign — Video reach

Introduces the school to local parents who haven't searched yet — builds the name recognition that makes the Search campaign more effective over time.

  1. 1. In Google Ads, click + New Campaign → goal: Awareness and consideration → Video reach campaign.
  2. 2. Name it 'YouTube — School Awareness' and set daily budget to $10–$15.
  3. 3. Under Networks, select YouTube videos only (uncheck Video partners on Display Network for tighter control at this budget).
  4. 4. Set geography to the same radius as the Search campaign.
  5. 5. Under Audience segments, add In-Market: 'Private Schools & Tutoring.' Add Detailed Demographics: Parental Status → Parents; Household Income → Top 25% and Top 26–50%.
  6. 6. Upload your school tour or testimonial video (minimum 30 seconds). If no video exists, use Google's free video creation tool as a stopgap.
  7. 7. Set the ad format to Skippable in-stream. Add a companion banner using a school photo and your inquiry CTA.
  8. 8. Set frequency cap to 3 impressions per user per week to avoid overexposure on a small local audience.
In plain English

Parents researching private schools often take weeks or months to decide. This small YouTube campaign puts your school's face and name in front of local families before they're ready to search — so when they do search, you're not a stranger. Keep the budget small; this is brand-building, not lead generation.

5

Performance Max — Scaling After Data Exists

The technical setup

Only create this campaign after the Search campaign has logged at least 30 conversions (inquiry form submissions). At that point, Google has enough signal to run Performance Max intelligently. Create one PMax campaign with a single asset group. Upload: 5+ images (school campus, classrooms, students in activities — no identifiable minors without signed photo releases), 5 headlines, 5 long headlines, 4 descriptions, logo, and at minimum one video (repurpose the YouTube awareness video). Set bidding to Maximize Conversions with a Target CPA equal to roughly 1.5× your current Search campaign CPA — give it room to explore. Budget: $30–$40/day, run alongside Search. Add audience signals: your existing inquiry form submitters list (upload as Customer Match if you have 100+ emails), in-market for Private Schools & Tutoring, and website visitors. Set the same geographic radius. Monitor Search Impression Share on the original Search campaign — if PMax cannibalizes branded or high-intent terms, add a brand campaign with exact match to protect them.

Reminder: budget figures are suggestions — scale to your funds and goals.

FULL FUNNEL
Campaign setup Google — Performance Max

Spans all funnel stages automatically — Google allocates budget across channels based on conversion likelihood, which is why it requires existing conversion data to work.

  1. 1. In Google Ads, click + New Campaign → goal: Leads → Performance Max.
  2. 2. Name it 'PMax — Private School Inquiries' and select the same inquiry form conversion action.
  3. 3. Set bidding to Maximize Conversions; enter a Target CPA (start at 1.5× your current Search CPA).
  4. 4. Set daily budget to $30–$40.
  5. 5. Set geography to the same radius as the Search campaign.
  6. 6. Under Asset Groups, create one group named 'Main.' Upload images (campus, classrooms, extracurriculars), headlines, descriptions, logo, and video.
  7. 7. Under Audience Signals, add: Customer Match list (past inquirers), In-Market segment 'Private Schools & Tutoring,' and your website visitor list from Google Ads remarketing.
  8. 8. Under Campaign Settings, add brand exclusions if you have a separate branded Search campaign running.
  9. 9. After 2 weeks, check the Insights tab for top-performing asset combinations and replace low-rated assets.
  10. 10. After 4 weeks, compare CPA between PMax and Search; if PMax CPA is within 20% of Search, gradually shift more budget to PMax.
In plain English

Performance Max is Google's automated campaign that runs across Search, YouTube, Display, Gmail, and Maps simultaneously. It works well — but only once it has real conversion data to learn from. Launch it too early and it wastes budget chasing cheap clicks that never convert. Wait for 30 real inquiries, then let it run alongside your Search campaign to find more families you wouldn't have reached manually.

Measurement & Enrollment-Cycle Discipline

The technical setup

Private school enrollment follows an annual cycle (open houses in fall, decisions in winter/spring). Structure your reporting accordingly: don't judge a September campaign by October CPA alone — track inquiry-to-tour rate and tour-to-application rate in your CRM alongside Google Ads data. Key metrics to watch weekly: Impression Share (lost to budget vs. lost to rank), Search Term Report (add converting terms as exact match; add irrelevant terms as negatives), Conversion Rate by device (mobile vs. desktop — private school inquiries often convert better on desktop), and Asset performance ratings in PMax. Monthly: review auction insights to see which competitors are gaining share. Set a budget review trigger: if CPA exceeds 3× your target for two consecutive weeks, pause and diagnose before increasing spend.

Reminder: budget figures are suggestions — scale to your funds and goals.

In plain English

Private school enrollment isn't an impulse purchase — families research for months, and your ad results will reflect that lag. Check the numbers weekly but make decisions monthly. The most important thing to track isn't clicks or impressions — it's how many inquiries turned into tours, and how many tours turned into applications. Google Ads can't tell you that; your admissions team's CRM can. Connect the two.

The recipe card

  • Start with airtight conversion tracking on inquiry forms and tour bookings — no data, no optimization.
  • A tightly geo-targeted Search campaign captures parents already Googling for a private school right now.
  • A small YouTube awareness layer builds name recognition during the long consideration cycle.
  • Performance Max only launches after 30+ real conversions — before that it wastes budget.
  • Measure inquiry-to-tour and tour-to-application rates in your CRM, not just ad clicks.
